How does a Request for Job Site Equipment flow through the Job Site Portal?

Step 1:  Requisition is created in the Job Site Portal

  • Once the requisition is saved and approved it appears in the Equipment Facility's workflow awaiting action

  • They can add it to an existing order that is already being prepped, create a new order or group all your requisitions together to get you the most efficient delivery. 

Step 2:  Scheduling the Requisition for Fulfillment

Step 3:  Where is the Equipment Coming From

  • If the equipment is coming from your own fleet, then jump straight to Step 5 below. 

  • If its coming from an external vendor then the EQ can create a back-to-back re-rent PO with drop shipment instructions and have things sent direct to your job site

  • The EQ might also choose to get the equipment transferred from another job site or from another location, whichever option they choose it will be visible to you in the Job Site Portal

Step 4:  Track your Requisition Progress in the Job Site Portal

Step 5:  Equipment is Allocated & Picked using Mobile Technology

  • As your equipment is selected in the yard using Mobile Apps, the system is updated in real time and so is your view in the job site portal. 

  • Planning the Shipping Process may take several days, the purchase of external trucking and possibly a staggered delivery if you've requisitioned a tower crane! 

  • The EQ can plan the full delivery out, combining deliveries to you with any pickups that need completing at the same time to maximize their efficiency and keep your costs down. 

Step 6:  Staging the Order for Shipment

  • If your requested equipment is drop shipped straight to your job site from an external vendor you can confirm the receipt on a mobile device and make sure everyone knows about it

  • If it arrives via an external truck or from the EQ, then you'll sign for the delivery and get accurate on-rent information to stop later disputes  

Step 7:  Confirming Loads & Receipts through Mobile Technology

  • Once you've received whatever it is you requested, you can see an accurate picture of what you are being charged, including accruals for external equipment in the job site portal

  • Charges can be sent directly into your corporate ERP or project system as can the accruals for any external charges that haven't yet been received.

  • You can update your project and task codes at any point through the Job Site Portal

Step 8:  Getting Charged

Step 9:  Requesting a Pickup through the Job Site Portal

  • When you've finished with the equipment you can simply request the off rent through the Job Site Portal

  • Your internal team can start prepping for the return, and the system will let the vendor know if it needs picking up by a third party

Step 10:  Staging the Pickup for Return

  • Just as with Step 6, your pickup ticket will be used to plan trucking, and return the equipment back as efficiently as possible. 

  • You can track any outstanding pickups via the job site portal, but you won't be charged whilst you're waiting for the pickup as long as you've confirmed it online.

Step 11:  Confirming Pickup through Mobile Technology

  • When you hand the equipment over to the driver for return you'll sign for the pickup and that will feed accurate data back to the system about the pickup time. 

  • You can check on how long it takes the EQ to pick up your equipment and make sure you aren't charged incorrectly.

  • Once your equipment is returned, its possible there may be a little damage to be accounted for. 

  • You've got complete visibility of any work orders created for damages and you can approve them online and make sure your project information is up to date before you get hit with unexpected charges

Step 12:  Final Billing, Damage Returns & Inspection
